  • Participants of meetings are shown multiple time when they react

When I create a new meeting and invite another person, this person gets an invitation per e-mail. If he or she reacts I get an E-Mail back with the information that he or she has e.g. accepted the invitiation.
But when I open the meeting his or her name is shown as new and optional participants meanwhile the original entry remains unchanged. I made a photo collage to illustrate the problem:

Now I send the invitiation and open it on the remote system and accept, OWA:

I get the E-Mail with the information that he/she has accepted the invitiation.

And that how it looks in the calender:

I am wondering that I am the only one who has this problem on my own system and on the customer system.

Can someone help me?

Thank you for your feedback, I have an open ticket on this topic Ticket#811946 and was wondering if I this is a user error, because the support could not reproduce it.

This is some kind of basic functionality, and you can imagine that the customer is very unhappy about this issue.

I want to migrate another customer, but currently I hesitate because of this.

Wir haben den Fehler gefunden und behoben. Die bisherigen Tests sehen gut aus, so dass der Fix im nächsten Release erscheinen sollte.

    Hello,
    unfortunatley the problem is still not solved completly. It works perfectly if the participants of a meeting are in the contacts of the User, but if you directly enter an E-Mail address and the recipient accepts the list is still expandend and after a short time Outlook "notice" it an removes the multiple entries, but than the whole process starts from the beginning.

    Another strange behaviour is, that I have multiple E-Mail Addresses like Administrator@domain1.at, Administrator@domain2.at, etc. These E-Mail addresses are not stored in the address book, instead I directly enter them. Now, I tried it 3 times, if I create a meeting, invite e.g. one person from the address book, and one directly, Administrator@domain1.at the invitation are sent. The person from the address book accepts the meeting and everything is okay. But than the person with the Administrator@domain1.at E-Mail accepts he/she is added to the list even he/she is already part of it and in some cases e.g. Administrator@domain2.at is also added to the list, even he/she was never added to it (in the screenshot this is the participant "Administrator"

      Hi,

      the screenshot has a very low resolution and it's guessing who's Administrator of domain1 and domain2. Would you be able to provide a better readable screenshot? Also, who is the person from the address book? Which clients are the involved parties using to open and to accept meeting requests and which client the organizer uses to open the "meeting accepted" email?

        Thank you for your response. I will describe it more detailed:

        Screenshot m1 shows how I created a new meeting and invited Betina Egger (a staff member on our grommunio server) and the Administrator of a customer, using grommunio with the lastest edition. The meeting is created using Outlook 365 and I sent the invitation.

        Screenshot m2 shows the situation after Miss Egger accepeted the meeting, by directly clicking in the invitation Mail in Outlook 365.

        Now I login on the customer grommunio server using the Administration account and the grommunio webmail. Inside the application I accept the invitation and send the repsonse without any additional information.

        Screenshot m3 shows the incoming mail with the confirmation sent to my account.

        Screenshot m4 shows the situation when I open this meeting. The optional participant AR18 Administartor is a completly different customer using Exchange 2019, in no situation I added him to this meeting and I chekced, he did not get an invitation E-Mail.

        Screenshot m4b shows the meeting information after the response from screenshot m3.

        I am quiet irritated because I do not understand this behaviour. I checked my address book, if there is an entry which connects the two Administration E-Mails, but there is no one.

        As decribed above, I am using grommunio in the current version, the other system is also grommunio with the current version and the AR18 Administrator is an Exchange Server. They are not connected in any way.

          If the organizer logins into grommunio-web and opens the meeting there, is the optional attendee also present?

          Are you able to reproduce the issue if the organizer uses grommunio-web only to send the meeting and open the accepted emails? So that we check whether it's rather a grommunio or an Outlook issue.

            Unfortunantly my custmer noticed me about an additional problem with the meetings. He got more than one time an invitation from his customers, where he was shown as "organizer" and not as participant. The problem ist, that as organizer he cannot accept the appointment.

                Hello, sorry for the inaccurate description. It does not matters if I use Outlook or webmail, in both cases the optional attendee is also present, as you can see in the screenshot above.
